Build a QR-code-friendly star rating form and feed the scores directly into each employee's monthly performance.
What is it?โ
vimiReview is how customers, colleagues, or managers rate someone on a 1โ5 star scale. You build a form with the attributes you want rated ("Politeness", "Speed", "Product Knowledge"), decide who gets reviewed, and share the public link or QR code. Every submission is stored, tagged by month, and - if you want - automatically converted into a performance percentage in vimiClass.
Three common patterns cover most use cases:
- Customer โ Staff - a cafรฉ's QR code at each table, a retail receipt that invites a rating, a service provider who texts a link after a job. Customers rate the specific staff who served them.
- Internal peer review - a monthly or quarterly round where colleagues rate each other, usually for HR analytics rather than payout.
- Branch feedback - a general rating for a location with no staff selection. Works for walk-in clinics, showrooms, waiting rooms.
Run a review cycle every month, a quarter, or keep a CSAT form running permanently and let the month-tagging do the grouping. Use vimiReview alongside vimiGoal when customer score is part of the monthly KPI, or alongside vimiTeam when service quality should influence team rewards.
Quick Startโ
- Go to vimiReview โ Manage.
- Click "Create New Review".
- Fill "Review Name" (internal), "Title Header" (public-facing), and "Description".
- Add two or three rating attributes under "Attribute Name".
- Click "Save and Return to Configure vimiReview". The form is Published.
- Open the form, click "Copy Link", turn it into a QR code, and print it.
After this, anyone who scans the QR code can submit a rating on your form.
For Admins (Employer / HR / Manager)โ
How to create a customer feedback formโ
Use this pattern when you want customers to rate a specific staff member and have the score flow into that person's monthly performance.
- Go to vimiReview โ Manage and click "Create New Review".
- In "Review Name", type an internal name - e.g.
Customer Satisfaction Score (CSAT). This isn't shown to customers. - In "Title Header", type what customers see - e.g.
Rate My Service!. - Add a "Description" line.
- Under "Options":
- Tick "Track Responses" - stops the same phone number submitting twice.
- Tick "Staff Review" - a new "Staff to Review" section appears.
- Tick "Include in vimiClass Performance" - this is the key setting that ties ratings into each staff member's monthly performance.
- Under "Staff to Review", click the "All Staff" chip (or a specific department like "Sales") to add reviewees.
- Under "Attribute Name", add the things you want rated -
Politeness,Product Knowledge,Speed. Click the (+) after each one. Tick "Remark?" next to any attribute where you want a written comment alongside the star rating. - Optionally pick a "Background Color" to match your brand - there are 19 presets or a full colour picker.
- Click "Save and Return to Configure vimiReview".
- From the form's detail page, click "Copy Link" to get the public URL, or "Send via WhatsApp" to share it with staff to forward to customers.
Tip: Each time a customer rates a staff member on this form, the employee's vimiClass performance percentage updates within seconds. Formula: average star rating รท 5 ร 100. So a 4.5-star average becomes a 90% performance score for that month.
How to create a branch feedback formโ
Use this when no specific staff member is involved - a lobby rating, a general shop experience.
- Create a new review.
- Leave "Staff Review" unticked.
- Tick "Anonymous Review" so the name and phone number fields become optional - helps response rates.
- Leave "Track Responses" unticked so repeat visitors can submit every time.
- Tick "Feedback" to add an open-text box at the end.
- Add your attributes - e.g.
Cleanliness,Staff Helpfulness,Value for Money. - Save and publish. Share the link as a QR code.
How to customise the form colourโ
Your form header can match your brand. This is a staging-only feature at the moment - check whether it's available in your environment.
- Open or create a review form.
- Scroll to "Background Color".
- Click any of the 19 preset circles (teal for healthcare, peach for F&B, dark navy for premium retail), or click the rainbow swatch to open the full colour picker.
- The iPhone preview on the right updates live.
- Save.
If you pick a dark colour, the header text automatically switches to a light colour for readability - so you can't accidentally make the title unreadable.
How to save and use a templateโ
If HR runs the same review every month, save the attributes once and re-use.
- Open a form with the right attributes.
- Click "Save As Template".
- A dialog asks for "Enter a Template Name" - e.g.
Monthly Performance Matrix. - Click "confirm". The template saves under vimiReview โ Templates.
To apply a template:
- Create a new review.
- Before adding attributes, click "Apply Template".
- Pick your template and click "Apply Template".
- A confirmation appears: "Applying templates will overwrite all current attributes. Are you sure you want to continue?" - click continue.
How to control who sees responses on mobileโ
By default, staff see only their own responses. Managers see only their own. HR sees only their own. The employer sees everything. Three toggles change that.
- Open the staff review form in edit mode.
- Scroll to "Mobile Response Visibility" (under Staff Review settings). Note: this is staging-only.
- Decide:
- "Staff can see all feedback responses in their department on mobile" - on if you want transparent team culture, off if privacy matters.
- "Managers can see all feedback responses in their department on mobile" - on for managers who coach their team on mobile.
- "HR/Admin can see all feedback responses on mobile" - on for HR who review performance in the field.
- Save.
The typical setup: managers ON, staff OFF. Managers can coach with data; staff still have privacy.
How to run a monthly review cycleโ
vimiReview doesn't have a built-in "cycle" with automatic open/close dates. You run it manually:
- Create and publish the form at the start of the month.
- Share the QR code / link.
- At month-end, edit the form and change "Status" from "Published" to "Disabled". The public link now shows a closed message.
- Open the form by clicking its name to see all responses. Click the "Staff Ratings" tab for each reviewee's aggregate.
- Next month: click the "..." menu on the original form and pick "Copy" to duplicate. The copy resets the edit count. Publish the copy.
For staff review forms, responses are auto-tagged by month, so one running form still gives you month-by-month history on the "Monthly Staff Reviews" tab.
How to handle the 5-edit limitโ
Every published form can only be edited five times to protect data integrity of existing responses.
- If "This form has reached its edit limit (5/5)" appears and the Edit button is grey, click the "..." menu on the form list and select "Copy".
- The copy has a fresh edit count. Make changes and publish it.
- Go back to the original and set its status to "Disabled" so old QR codes show the closed message.
- Distribute the new form's URL.
Warning: Copying a form strips all SRA Watchers/Editors. After creating the copy, go into its SRA section and re-assign them.
For Employeesโ
How to view your own feedbackโ
- Open the vimigo mobile app.
- Go to "vimiReview" in the menu.
- Tap the review form where you're a reviewee.
- The "Reviewee Summary" section at the top shows your average rating and response count for the month.
- Scroll to see individual response cards with each reviewer's rating and any remarks.
- Use the month/year filter at the top to switch between months.
If the form doesn't appear, ask your admin to check that you're in the form's reviewee list.
What you won't seeโ
Unless your admin enables the mobile visibility toggles, you only see responses about yourself - not your colleagues' ratings. If the form has "Anonymous Review" enabled, the reviewer names are hidden too.
For Reviewers (customers, peers)โ
If you're the person submitting a rating, the flow is:
- Scan the QR code or open the link.
- If the form has staff selection, pick the employee who served you from the dropdown.
- Pick the "Review for" month (it defaults to the current month).
- Use the star sliders to rate each attribute from 1 to 5.
- If there's a "Feedback" text box, add any comments.
- If an attribute has a "Remark?" field, type your reason for that specific rating.
- Optionally attach up to 5 files (photos, documents).
- Click "Submit".
If you close the form without submitting, your phone number is remembered for 48 hours - you can come back and finish.

Rating scaleโ
vimiReview uses a 1โ5 star scale on every attribute. There is no Yes/No, numeric, or text-only scale.
Overall rating = sum of all attribute ratings รท number of attributes.
Example: 3 attributes rated 5, 4, 3 โ overall = (5 + 4 + 3) / 3 = 4.0
vimiClass performance % = (overall / 5) ร 100
So 4.0 stars = 80% performance score.
Who sees what on mobile (default)โ

Turn on the mobile visibility toggles to broaden what managers, HR, and staff see. The employer always has full visibility regardless.
FAQโ
Q: The Submit button does nothing when a customer tries to submit.
A: A mandatory field is blank. The browser shows a red "This field is required" above the missing field. Most common causes: an unfilled star rating, an unticked "Agree to Privacy Notice" checkbox, or a required "Remark?" field left empty.
Q: The form shows "Feature Locked!" when someone submits.
A: Your company has hit its subscription plan's response limit. Your account manager needs to upgrade the plan.
Q: I updated the logo but the old one is still showing.
A: Logos cache for up to 45 minutes. Wait it out, or ask vimigo support to flush the cache for that form.
Q: The Edit button is grey.
A: Either the form has hit the 5-edit limit (copy it and edit the copy), or your account doesn't have SRA Editor access for this form (ask the form owner to add you).
Q: I duplicated a form and now other managers can't see it.
A: Copying strips all SRA roles. Open the new form's SRA section and reassign Watchers and Editors.
Q: A staff member says they can't see their review responses on mobile.
A: Check three things. The staff member's user ID must be in the form's reviewee list. The form must be Published. And on staging, if all three mobile visibility toggles are off, staff only see their own - which means there must be at least one submitted response for them.
Q: Do the scores really update vimiClass in real time?
A: Yes. Every submission triggers a recalculation of that reviewee's monthly average. If a customer submits a 5-star rating, you'll see the staff member's vimiClass performance tick up within seconds.
Q: If a customer submits five 5-star ratings for the same person in one month, does vimiClass update each time?
A: Yes, if "Track Responses" is off, each submission recalculates the average. If it's on, the same phone number only counts once (their previous submission is overwritten).
Q: Where does the public review URL come from?
A: It's auto-generated when you first save the form. It appears in the form's "Copy Link" and "Send via WhatsApp" buttons.
Q: What's the difference between the three form statuses?
A: Draft - the form is being built; the public link does nothing. Published - live; anyone with the link can submit. Disabled - closed; the link shows a "closed" message to visitors.
Q: Can I compare ratings year over year?
A: On the admin panel, use the date filter on the responses page to compare periods. There's no built-in annual comparison chart, but you can export monthly data to Excel and build it there.
