Getting Started - vimigo Setup Roadmap

The complete checklist a new boss or admin works through to set vimigo up properly. 33 items, organized in four phases, sequenced for fastest time-to-value.

Also known as the "vimigo Software Settings Checklist - What you should do?" - this is the modernized version of that overview slide.

What is it?โ€‹

This is the master "where do I start" guide. vimigo has a lot of moving parts - Diamonds, Goals, Class grades, Leave, Rewards, and more. If you try to set them all up at once, you'll burn out. If you set them up in the wrong order, you'll have to redo work.

The roadmap below sequences setup so each step builds on the previous one. The first phase (General Settings) gets your company structure right. The second (Support Module Settings) turns on day-to-day operations. The third (Performance Module Settings) wires up goals and competition. The fourth (Rewards Module Settings) closes the loop with payouts and recognition.

You don't need to do all 33 in week one. The "First 7 days" timeline below picks the 9 essentials. The rest can roll out over the next month.

Quick Start - First 7 Daysโ€‹

Day 1 is one focused sitting - all 9 General Settings. Days 2โ€“7 each turn on one performance or rewards module. Each day maps to a deeper guide.

DayGoalActionGuides
Day 1Foundation - all 9 General SettingsCompany profile, working times, holidays, leave types, departments, bulk-import staff, assign rolescompany, users, departments, roles-permissions, holidays, working-days, vimileave
Day 2Give first diamondsRecognize someone today; let staff feel the systemdiamond
Day 3Stock the rewards shopAdd 5 starter items so diamonds have a usevimirewards
Day 4Launch a challenge"First 3 to hit weekly target โ†’ 10k๐Ÿ’Ž" - short-term motivation burstvimichallenge
Day 5Set monthly goalsOne vimiGoal per person or departmentvimigoal
Day 6Turn on gradingConfigure vimiClass component weightsvimiclass
Day 7Review progressLook at the Leaderboard; celebrate; course-correctleaderboard

By the end of week one, your foundation is solid, your team has given and received diamonds, completed at least one challenge, and seen their first leaderboard ranking.

Day 1 reality check: A focused admin can knock out all 9 General Settings in 2โ€“4 hours if your staff list is ready as an Excel file. Block the morning for it. If you don't finish Day 1 in one sitting, finish it Day 2 - don't skip ahead. Every later day depends on Phase 1 being complete.

The Complete 33-Item Roadmapโ€‹

Sequenced into four phases. Phase 1 is mandatory (you can't skip it). Phases 2โ€“4 can be picked ร  la carte based on which modules you actually plan to use.

Phase 1 - General Settings (foundation)โ€‹

Get your company structure right. Without these, nothing else works correctly.

For Admins (Employer / HR / Manager)โ€‹

How to use this roadmap as a checklistโ€‹

Pin this page. As your admin completes each item, tick it off. Items in Phase 1 are sequential - finish 1 before 2 before 3. Items within Phases 2โ€“4 can be done in any order, but don't activate Phase 3 (Performance) before Phase 1 is solid - bad goals against a bad org structure cause more confusion than no goals at all.

A reasonable cadence:

  • Day 1: All of Phase 1 (items 1โ€“9). One focused sitting. Get the company structure live and staff imported.
  • Days 2โ€“7: Activate the daily-use core - Diamond, vimiRewards, one vimiChallenge, one vimiGoal, vimiClass, Leaderboard. (See "First 7 Days" above.)
  • Week 2: Pick three more from Phase 2 most relevant to you (typically Check-In Map, Announcements, vimiKnowledge).
  • Week 3: Finish Phase 3 (items 23โ€“28) - vimiTeam rollups, vimiRoadmap milestones.
  • Week 4: Phase 4 (items 29โ€“33) - recognition badges, vimiBank payouts, EWF wallets.
  • Month 2 onwards: Iterate. Add more rewards. Tune badge categories. Run quarterly reviews.

How to map old menu names to the new IAโ€‹

If you used vimigo before mid-2024, the menu was organized as Reward / Future / Action / Stats / Company. The 2.0 platform reorganized this. Quick translation:

For Employeesโ€‹

This guide is mostly for admins. As an employee, you don't set anything up - your boss or HR does. But the system will work better when:

  1. You complete your own profile (photo, contact, language) - see mobile basics
  2. You enable notifications so you don't miss approvals or wins - see notifications
  3. You check in daily - see vimicheckin
  4. You apply for leave through the app, not via Whatsapp - see vimileave

When all 33 items above are set up, your daily app should show goals you can hit, badges you can earn, diamonds you can spend, and rewards you can redeem.

Settings & Configurationโ€‹

This page itself has no settings. Each row in the roadmap above links to the module guide that documents its settings exhaustively.

If you want a quick "what controls what" summary:

QuestionWhere to look
Why did my staff not get diamonds when they hit the goal?vimigoal reward tiers + diamond economy
Why is my Class A grade computed differently from last month?vimiclass component weights
Why is my leave balance wrong?vimileave accrual + override
Why didn't my commission appear in my Bank?vimibank payout cycle + vimisales formula
Why can't I see my goal?users assignment + vimigoal employee assignment

FAQโ€‹

Q: I'm a new boss. Where do I start?

A: Read the Quick Start - First 7 Days table at the top. Follow it day by day. Don't try to read 28 module guides on Day 1 - you'll quit. Do Day 1 today, Day 2 tomorrow.

Q: My team is only 5 people. Do I need all 33 items?

A: No. For a 5-person team, the minimum is: Phase 1 items 1, 6, 8, 9 (company, employees, assign, departments) + Diamond + vimiRewards + one simple vimiGoal. Skip vimiTeam (you're too small for team goals), vimiClass (too formal at this size), vimiBank (no commissions yet), and EWF (only if you're committing to long-term welfare funds).

Q: Can I skip a Phase 1 item?

A: Almost never. The Phase 1 items are foundational. Skipping "Set up Company Holiday" (item 4) will give wrong leave balances. Skipping "Add Department" (item 9) means goals can't roll up to teams. Each item is small - get them done.

Q: vimiCalculator is in your old roadmap but not in the new modules. Is it gone?

A: vimiCalculator is a legacy 3.0 feature. In 2.0 it's been folded into per-module settings (sales formulas live in vimisales, commission math in vimibank). If you're on a tenant that still shows it in the menu, treat it as a calculator UI for older configurations.

Q: How do I know when I've "finished" setting up?

A: When all the modules your team actually uses show real data and your staff can complete tasks (apply leave, check in, see their goal, redeem a reward) without asking your support team. That usually takes 3โ€“4 weeks for a team of 20, longer for bigger.

Q: My team had vimigo 1.0 / 3.0 before. Does anything carry over?

A: Most data does. Most settings need to be re-validated against the new menu structure. Use the old menu โ†’ new module translation table above. If a customer page or screenshot you remember references "All Features" or "Boss Dashboard" menus, that's pre-2.0 - the menu has been reorganized.

Q: Can I do this setup with the AI assistant instead?

A: Yes - the vimigo ChatGPT app on chatgpt.com/apps can walk you through most of these steps interactively. It can also bulk-create things (rewards, badges, departments) much faster than the UI. See notifications and the in-app help for current addon availability.

For the full module list, see the README.
